Privacy Policy

How ClientLine collects, uses, protects, and retains information.

ClientLine LLC (“ClientLine,” “we,” “our,” or “us”) provides automated after-hours intake services for law firms. This Privacy Policy describes how we collect, use, protect, retain, and disclose information when you interact with our website, our services, or when a caller engages with an intake receptionist operated on behalf of a subscribing law firm.

Website visitors. When you visit clientline.io, we collect limited technical information such as browser type, device type, referring page, and pages viewed. If you submit a consultation form, we collect the information you provide (name, firm name, email, phone, practice areas, and any notes you include).

Callers to client firms.When a caller reaches an intake receptionist configured for one of our subscribing firms, we may process the caller’s name, phone number, email, the nature of the legal matter, urgency indicators, and the audio and transcript of the conversation. This information is collected on behalf of the subscribing firm and treated as confidential prospective-client information belonging to that firm.

Subscribing firms. We collect the business contact information, billing details, configuration preferences, and intake specifications of the firms that subscribe to our service.

We use information only for the purposes for which it was collected:

  • To deliver intake summaries, alerts, and warm transfers to the subscribing firm
  • To operate, configure, and improve the intake service for that firm
  • To respond to consultation requests and support inquiries
  • To bill subscribing firms and maintain account records
  • To comply with legal obligations and enforce our agreements

Caller data is never used to train machine-learning models, never sold, and never shared with any party other than the subscribing firm that the caller was attempting to reach.

Siloed per firm.Each subscribing firm’s caller data is strictly isolated from every other subscribing firm on the ClientLine platform. Other firms cannot see, access, or be presented with your callers’ information in any form - not individually, not anonymized, and not in aggregate. Your intakes are visible only to your firm.

Developer and staff access. ClientLine personnel, including the founder, do not view, listen to, or read caller recordings, transcripts, or intake summaries in the ordinary course of operating the service. Access is technically and operationally restricted to circumstances where your firm explicitly requests help - for example, when you ask us to investigate a specific call, correct a configuration issue, or troubleshoot a delivery failure. Even then, access is limited to what is strictly necessary to resolve the request you initiated.

ClientLine is designed to handle sensitive prospective-client information under HIPAA standards. Every layer of our infrastructure carries a signed Business Associate Agreement, and we sign a BAA directly with each subscribing firm.

Voice Platform.

HIPAA certified with a signed BAA. Handles incoming calls, automated conversation, voice processing, and warm transfers. All data encrypted in transit (TLS) and at rest (AES-256).

Automation Layer.

Fully self-hosted infrastructure under our direct control. Caller data never leaves our environment. Routes call data, triggers SMS notifications, and manages CRM integrations.

Email Delivery.

HIPAA certified with a signed BAA. Intake summaries are delivered via encrypted channels exclusively to the attorney or firm.

In February 2026, a federal court (S.D.N.Y.) ruled that documents generated using a consumer-grade chatbot were not protected by attorney-client privilege because the platform collected user data, used it for training, and could disclose it to third parties.

ClientLine is built on the opposite model:

  • HIPAA-certified at every infrastructure layer
  • No data training on caller information
  • No third-party disclosure
  • Fully self-hosted automation

Each subscribing firm selects its own retention period for call recordings and transcripts. Available options range from 1 day, 3 days, 7 days, 30 days, 60 days, 90 days, 180 days, 365 days, 730 days, or indefinite retention.

At the end of the selected retention window, call recordings and transcripts are permanently deleted from our systems. Structured intake summaries delivered to the firm remain the property of the firm and are governed by the firm’s own records policies.

  • Caller data is never used for model training
  • Caller data is never shared with third parties
  • Caller data is never sold
  • Caller data is siloed per firm and is never visible to any other subscribing firm
  • ClientLine staff do not view, listen to, or read caller data in the ordinary course of business; access is limited to support requests your firm initiates
  • We sign a BAA directly with every subscribing firm
  • Data retention is configurable from 1 day to indefinite
  • You may request access to, correction of, or deletion of information we hold about you by contacting sales@clientline.io

clientline.io uses minimal, privacy-respecting analytics to understand aggregate website traffic and improve the site. We do not use advertising trackers, cross-site trackers, or behavioral profiling. Cookies, where used, are limited to essential functionality and aggregate analytics.

ClientLine integrates with a small number of infrastructure providers required to deliver the service (voice platform, email delivery, optional CRM integrations such as Clio, MyCase, and PracticePanther). Each provider that processes protected information operates under a signed Business Associate Agreement. We do not share caller data with advertising networks, data brokers, or any party outside the chain required to deliver intake to the subscribing firm.

We may update this Privacy Policy from time to time to reflect changes to our service, infrastructure, or legal obligations. When we make material changes, we will update the effective date at the top of this page and, where appropriate, notify subscribing firms directly.
