Frequently Asked Questions
Absolutely not. ClientLine is built to supplement your team, not replace anyone. During business hours, your phones ring normally and your staff handles calls as they always have. ClientLine activates only after your office closes and turns off when you open. Your receptionist handles the day. We handle the night, the weekend, and every holiday in between.
Most firms go live within 48 hours. We handle the configuration, test the call flow with you, and activate the service once you are satisfied.
If warm transfers are enabled, ClientLine connects the caller directly to you or a designated attorney in real time. You define what qualifies as urgent based on your practice areas and preferences.
Yes. Lead qualification is built into your intake flow. We configure the receptionist with your criteria - practice area, geography, conflicts of interest, case type, or any other filter you choose - and only callers who match those rules trigger a notification. Wrong-practice calls, marketing solicitations, and callers outside your service area are handled politely, but they do not interrupt your evening. Every intake summary you see is a real prospective client worth following up on.
Yes. ClientLine is HIPAA-compliant with signed Business Associate Agreements at every layer of the infrastructure. Our automation is fully self-hosted, and we sign a BAA directly with your firm.
Yes. Every intake question, greeting, urgency trigger, and delivery preference is configured to your specifications. Nothing is generic or one-size-fits-all.
Yes. We sign a Business Associate Agreement directly with every client firm. This is in addition to the BAAs we maintain with our infrastructure providers.
No. Each subscribing firm's data is strictly siloed. Other firms on the ClientLine platform cannot see, access, or be presented with your callers' information in any form - not individually, not in aggregate, not anonymized. Your intakes are visible only to your firm.
Not in the ordinary course of operating the service. ClientLine staff, including the founder, do not routinely view, listen to, or read caller recordings, transcripts, or intake summaries. Access is restricted to situations where your firm explicitly asks us to investigate or troubleshoot something - for example, if you report a problem with a specific call or want an adjustment to your receptionist configuration. Even then, access is limited to what is necessary to resolve your request.
ClientLine is month-to-month with no long-term contracts. You can cancel anytime with 14 days notice.
ClientLine integrates with Clio, MyCase, PracticePanther, and other practice management systems. If your CRM is not listed, contact us and we will work to support it.
